Conditions for participation in the Sweet Istria 2010 event, 25 and 26 September 2010, Koper

The application form also applies as a contract. It is completed by the exhibitor and submitted to the event organiser by the determined application deadline. The prices applying to participation in the event are listed in the application form. By signing the application form, the exhibitor acknowledges and accepts the conditions for participation in the Sweet Istria 2010 event. When applying, the exhibitor must also list the possible animation or other programme to be executed at the stall (live cooking, music, etc.).

The stalls from thematic sets 1–5 provide offers, samples, presentations and sales of solely sweets or other sweet products and the promotional material of the applied exhibitor. The commercial stalls (thematic set 6) can host bookshops offering gastronomy books, exhibitors of kitchen utensils and other accessories for preparing sweets, and exhibitors of other gastronomy-related activities. Sponsors and advertisers (thematic set 7) present their products/services at the stall. The exhibitor must list the details of their offer in the application form.

The event organiser decides on the allocation of the exhibition area or stall to the applied exhibitor. Previous consent by the event organiser is required for any additions to the stalls.

The organiser ensures ONE free stall to each participating exhibitor in thematic sets 1–5, while other exhibitors will receive the equipment and services ordered through their completed application form. The price of other additional services and equipment is listed in the application form. The event organiser will also ensure the following to the exhibitors free of charge: electrical wiring to the stall, if required by the exhibitor; caption for the stalls with the exhibitor’s name; the publication of the exhibitor’s name in the catalogue/leaflet of the event. Exhibitors under thematic sets 1–5 will also receive 200 napkins, one apron and 2 sets of protective gloves per stall.

Each exhibitor must use the stall with due care and keep the stall and its immediate vicinity tidy and clean. The stalls should not be damaged.

If the event is rescheduled, shortened, prolonged or the venue is reorganised, the exhibitors do not hold the right to cancel their participation or demand reimbursements for damage. If the event cannot be executed due to reasons for which the organiser is not responsible (force majeure, strike, other), the organiser will reimburse the paid funds for the expected, but not yet incurred costs to the exhibitor. The organiser is not obliged to reimburse for already incurred costs.

The exhibitor must cover the costs of additional stalls, the lease of the stall and promotional services prior to the commencement of the event at a price listed in the application form. After the delivery of the signed application form to the event organiser, the exhibitor will receive the estimate, which must be settled in full and without any deductions to the current account of the Union of Cultural Societies of the Municipality of Koper (co-organiser of the event).

Upon application, the event organiser has the right to request from the exhibitor:

the trade license or registration with the decree by the competent authority that all statutory conditions for the performance of the activity are fulfilled,

the appropriate consent by the competent health and veterinary inspectorate, as at the event the exhibitor will perform the sale of food and items for general use, food sampling or demonstration of items for general use or catering.
The event organiser has the right to cancel the participation of the exhibitor in the event that he does not submit the requested documents.

The exhibitor using heating appliances and other electrical devices (cookers, household appliances, etc.) or open fire for performing the activity in the exhibition area must obtain written consent from the organiser prior to the commencement of the event.

The exhibitor participating in the event undertakes to obtain consent from the organiser for any modifications. The event organiser and the exhibitor will settle all disputes by mutual agreement. If an agreement cannot be reached, the court in Koper has jurisdiction for settling the dispute.
Additional conditions for participation for exhibitors participating in thematic sets 1–5 (Sweet Istria, Sweet Slovenia, Sweet World, Sweet Healthy Street, Sweet Drinks Street)

The exhibitor undertakes to offer sweets and other sweet products at presentation stalls in at least 2 manners: individual sorts of sweets can be offered as “degustation sweet or drink" or as a "piece of sweet". These are offered to visitors solely on the basis of received degustation coupons, which can be bought at special cash registers near the stalls.

It is preferred that the exhibitor also offers larger quantities of individual sweets and other sweet products or larger pieces of these to the visitors. This offer must include appropriate packaging (a box, a small package, a parcel, a bag, a bottle, etc.). The packaging is not charged separately, but it must be an integral part of the price of the sweet. The sale of larger quantities and larger pieces of sweets and other sweet products is not executed with degustation coupons, but is performed by individual exhibitors by issuing appropriate evidence (invoices, receipts of payment, etc.). The stall must also include the price list of the complete offer of the individual exhibitor at the stall, positioned in a visible place.

The value of one degustation coupon is €0.50 (VAT included). The exhibitor is obliged to provide one degustation sweet or drink in exchange for one coupon to the customer (visitor of the event) and one larger piece of sweet or a package of sweets for two, three or four coupons (determined by the exhibitor depending on the size of the sweet). The exhibitor must state in the application form the value of individual sweets and other sweet products offered in exchange for a degustation coupon. The exhibitor’s stall must include a list of sweets offered for 1 degustation coupon and sweets for more coupons (2, 3 or 4).

The sale of degustation coupons is performed by the Union of Cultural Societies of Municipality of Koper (co-organisers of the event). The exhibitors are entitled to the reimbursement of costs in the amount of €0.20 for each collected degustation coupon. The remaining funds are allocated for covering the costs of the event (the lease of stalls, the purchase of napkins, gloves, the production of captions, the apron, the promotion, the programme, etc.).

The reimbursement of costs will be performed on the basis of the invoice made out by the individual exhibitor to the Union of Cultural Societies of Municipality of Koper and the record on the receipt of returned degustation coupons, signed by the exhibitor (who delivered the coupons) and one of the event organisers (who counted and received the coupons).

All exhibitors can use joint refrigerators for storing sweets. If the exhibitors want to use their own refrigerators, they must obtain previous approval from the organiser due to possible complications caused by the increased load of electrical wiring.
